“Where are we with the purchase?” The email that never stops
On a busy matter, “any update?” arrives again and again. The work has stages. The client only sees silence between them.
The question that fills the inbox
Conveyancing has a lot of real stages: searches, enquiries, mortgage instructions, contracts, completion. From the solicitor’s side, those steps are familiar. From the buyer or seller’s side, most of them are invisible.
So they email. Then they email again. Sometimes they ring. None of that means the matter is stuck. It often means nobody has given them a simple place to look.
Why email is a poor progress board
Email is fine for advice and documents. It is a weak place to show “where we are.”
A progress reply sits in one thread. The next chase starts another. A partner covers for someone on leave and has to reconstruct the story. The client forwards last week’s note to their broker and everyone works from a different version.
You also end up answering the same shape of question with slightly different wording each time. That costs fee-earner time without moving the legal work forward.
What clients actually need
Most buyers and sellers do not need your case management system. They need a calm answer to:
- What stage is this at?
- What are we waiting on?
- Has anything moved since last week?
That is visibility, not full file access.
The gap
The firm already knows the stage. The client does not. Every chase is an attempt to close that gap by hand.
A single place the client can check, updated when something actually changes, turns “where are we?” into something they can answer themselves before they email. One shared status link is often enough. The legal work stays in your systems. The progress story stops living only in inboxes.
A lighter inbox, same professional care
When people can see the matter stage without asking, later chase messages often shrink. They only email when they need advice, a document, or a decision.
That is the real win: less narration, same care, clearer trust between updates.
